What we ask for,
and why we ask.

To collect you from the right place at the right time, we need a few details about you. This page sets out exactly which ones, what we do with them, and how to have them removed.

Who we are

TheTokyoTravel arranges private guided tours and private transfers in Japan. We are the operator responsible for the personal information described on this page.

What we collect

Everything below comes from you, either through the checkout or through a message you send us. We do not buy contact details, and we do not collect information about you from anywhere else.

When you make an enquiry

  • Your name and the way you contacted us — WhatsApp number, email address or mobile number.
  • Your travel dates, group size and where you would like to go.
  • Anything else you choose to tell us in the message.

When you book

  • Lead traveller's name, email address and telephone number.
  • Number of adults and children, and the ages of any children.
  • Your hotel or pickup address, and your drop-off address.
  • Flight number and arrival or departure time, for airport transfers.
  • Luggage details, and whether you need a child seat.

Only if you tell us

Some guests tell us about mobility needs, medical considerations or dietary requirements so that the day works properly for them. This is sensitive information and we treat it that way — it is used only to arrange your day, shared only with the guide and driver who need it, and deleted along with the rest of your booking.

We never see your card details. Payment is handled entirely by Stripe or PayPal on their own systems. Your card number does not pass through our website and is not stored by us at any point.

Why we need it

Each piece of information has a job. If it does not have one, we do not ask for it.

  • To arrange your booking — the vehicle, the guide, the driver, the route and the timings.
  • To find you — a hotel address and a flight number are how a driver arrives at the right place at the right hour.
  • To keep you comfortable and safe — child seats, luggage capacity, mobility needs and group size all decide which vehicle is assigned.
  • To reach you — confirmations, pickup details, and a message if something changes on the day.
  • To meet our obligations — Japanese tax and commercial record-keeping requirements apply to completed bookings.

We do not use your details for advertising, and we do not send marketing emails unless you have asked us to.

Who we share it with

Your information goes to the people who need it to run your day, and no further. It is never sold, and never passed to anyone for their own marketing.

  • Your guide and your driver — the name, pickup point, timing and any needs relevant to the day. Guides and drivers are separate people, and each receives only what their role requires.
  • Nini Travels, our licensed transportation partner, who supply the licensed drivers and green number plate vehicles.
  • Stripe and PayPal, who process payment directly and hold the card details we never see.
  • Squarespace, who host this website and the checkout.
  • Attraction and activity operators, where a booking has to be made in your name — a ropeway, cruise or activity that needs a reservation.
  • Authorities, where Japanese law requires it.

Cookies and this website

This site runs on Squarespace, which sets cookies needed to keep the site working and the shopping cart intact between pages, and to understand in aggregate which pages people visit. You can refuse or delete cookies in your browser settings; the checkout may not work correctly without the essential ones.

The availability calendar on our tour pages reads a published schedule of dates. It shows only whether a date is open, limited or taken. No guest name, booking reference or personal detail of any kind is contained in it or displayed by it.

How long we keep it

  • Enquiries that do not become bookings — up to 12 months, in case you come back to us, then deleted.
  • Completed bookings — kept for the period Japanese tax and commercial law requires.
  • Sensitive details such as mobility or medical information — deleted once your travel is finished.
  • Payment records — held by Stripe and PayPal under their own retention rules.

Where your information is held

We are based in Japan, and our records are held here. Squarespace, Stripe and PayPal operate internationally, so some data is processed outside Japan on their systems, under their own safeguards.

If you are contacting us from the United Kingdom or the European Economic Area, the rights set out in the next section apply to you, and information reaching us in Japan is protected by Japan's Act on the Protection of Personal Information.

Your rights

You can ask us to do any of the following, at any time, and it costs nothing.

  • Show you what we hold about you.
  • Correct anything that is wrong.
  • Delete it, once we are no longer required by law to keep it.
  • Stop using it for anything beyond completing a booking you have already made.
  • Send it to you in a form you can pass to someone else.

Email info@thetokyotravel.com and we will reply within 30 days. We may ask one or two questions first to be certain we are speaking to the right person.

Children

We ask for children's ages because a child seat is a legal requirement in Japan and because it decides which vehicle is assigned. That information is given to us by the adult making the booking, is used for nothing else, and is deleted when travel is finished. This website is not directed at children, and we do not knowingly collect information from anyone under 18 directly.

Changes, and how to reach us

If this page changes, the date at the top changes with it. A change that affects how we use information already given to us will be sent to affected guests by email.
